Housing Piracy Warning
Please beware of housing piracy companies. They are contacting delegates/sponsors to book rooms through their channels and claiming they control the rooms for the Convention. They do not. These companies charge non-refundable deposits from the moment you book their rooms, thus making it impossible for delegates to cancel their reservations. Sometimes, rooms are not booked, but payment has been taken. The Convention website is the only way to register for the Convention and book hotel accommodation.

Housing Policies and Important Dates
Booking Deadline: The Ohio Health Care Association Convention & Expo (OHCA 2026) Housing Partner, Showcare, will accept new hotel reservations, changes, and cancellations until 5PM ET on Monday, April 20, 2026. (Rooms are subject to availability and may be sold out prior to this date).
The reservations will be transferred to the hotels on Wednesday, April 22, 2026. To ensure the hotels have the most up-to-date information, we ask that all hotel cancellations and changes be made by 5PM ET on Monday, April 20, 2026.
Guarantee and Deposit Policy: All hotel rates are quoted in USD and exclude tax. Hotel room rates are subject to applicable taxes that are in effect at check-in time. A credit card is required for each reservation and must have an expiration date on or after July 2026. Your room is not reserved if you do not provide a valid credit card. The hotels may charge a one-night room and tax deposit using the credit card on file with Showcare prior to check-in. Each guest must present a valid credit card or an approximate amount of cash for subsequent room nights and incidental charges for the entire stay upon check-in.
Cancellation and Changes Policy: All cancellations or changes must be made online by re-accessing your registration account on or before 5PM ET on Monday, April 20, 2026.
No cancellations or changes will be made between 5PM ET on Monday, April 20, 2026, and Wednesday, April 22, 2026, while reservation information is being prepared and transferred to the hotels. Cancellations or changes as of Thursday, April 23, 2026, must be made directly with the hotels. Change requests will be made on a space-available basis.
Cancellation Penalty
- Prior to 28 days before arrival – no fee. An exception applies to Hyatt Regency, where a $100 fee applies if canceled 8 or more days prior to arrival.
- Within 28 days before arrival – 1 night room and tax penalty. For Hyatt Regency: within 7 days – 1 night room and tax penalty
No-Shows: No-shows will forfeit the one-night room and tax deposit and the rest of the stay will be cancelled. OHCA is not responsible for no-shows or early departure fees charged by the hotels or rooms resold due to non-arrival. OHCA takes no responsibility should a room preference not be available at check-in. Please check your hotel’s website for check-in and check-out times.
Housing Confirmation: You will receive an email from your hotel with your confirmation number approximately 2 weeks prior to arrival. If you do not receive it, please check your spam folder before contacting your hotel.
