Payment for Exhibit Space / Cancellation Policy
Exhibitors shall pay at least 50% of total charge for exhibit space when submitting contract. Final balance of booth fee is due by April 1, 2022. Contracts submitted after April 1, 2022 require 100% payment. Booth reservations may be cancelled with a full refund minus a $100 cancellation fee up until April 1, 2022. No refunds will be extended after April 2, 2022. Exhibitor’s right to exhibit may be cancelled by OHCA without further notice or refund of any deposit or payment. Payment for exhibit space includes one (1) 6’skirted display table, two (2) chairs, one (1) wastebasket and one (1) 9’x10’ carpet. Any optional costs shall be the exhibitor’s responsibility and can be obtained through Fern, the official decorator for OHCA.

Indemnity and Limitation of Liability

Neither OHCA nor the Greater Columbus Convention Center
(GCCC) nor any of its officers, agents, employees or other representatives, shall be held liable for, and they are hereby released from liability, for, any damage, loss, harm or injury to the person or property of the Exhibitor or any of its officers, agents, employees or other representatives, resulting from theft, fire, water, accident or any other cause. The Exhibitor shall also indemnify and hold harmless, OHCA and the GCCC, from demands, suits, liability, damages, loss, costs, attorney fees and expenses of whatever kind or nature, including, but not limited to, claims of damage or loss resulting from the breach of Terms, Conditions and Rules, claims of property or personal injury caused by or attributable in whole or in part to any action or failure to act, whether by negligence or otherwise, on the part of the Exhibitor or any of its officers, agents, employees or other representatives, and claims of damage or loss to any third party resulting from an infringement of a copyright or patent or the unauthorized use of a registered trademark. A professional photography firm will be taking pictures throughout the duration of this event. Some of those photographs will be used in the marketing of future events, in newsletters following the event or at the discretion of OHCA staff. Your registration for this event indicates that you accept these terms and that you understand that your image or likeness may appear in future materials.

Use of Space

OHCA reserves the right to decline or prohibit any exhibit or part of an exhibit, exhibitor, or exhibitor representative which is not suitable to and in keeping with the character of the exposition. No sharing, subletting or assignment of space will be permitted, without prior approval. Exhibitors will not be permitted to sell or give away any food or beverage for consumption on the premises unless contracted with the official GCCC food service provider
(Call for details).

Exhibit Arrangement

So that aisles and visibility are unobstructed, exhibits must be arranged so that they are completely within the allotted space. Ample space must also be provided within the booth for all exhibitor personnel. Exhibits must conform to the size of the space and must be of such a character or arrangement so as to not obstruct the view or interfere with the exhibits of others. Exhibits are permitted to extend forward at the 8 foot height maximum from the back wall the length of 5 feet and not over 4 foot high from this point to the front of the booth. In any of the island or peninsula booth areas, the exhibit must follow the
Guidelines for Display Rules and Regulations established by the International Association of Exhibitions and Events™ (IAEE). Displays having unfinished or unsightly exposures at the rear or sides must be acceptably covered at the exhibitor’s expense to the satisfaction of OHCA. Helium balloons are prohibited in the Columbus Convention Center. No exemptions will be made.

Exhibitor Registration

No one will be permitted in the exhibit hall, meeting rooms or other Show and Conference areas without an Exhibitor Badge. Advance registration is available to all exhibitors. Exhibiting companies shall limit the number of personnel working concurrently to three (3) per booth. If the exhibit is more than one booth, the maximum number of representatives working at any time would be three (3) per 100 square feet of space rented. All agents, models, temporary help and other authorized booth representatives must be registered.

Exhibitor Conduct

Exhibitor personnel are prohibited from sitting, standing, or working in aisles or other public areas. Exhibits must be properly staffed during all exhibit hours. Exhibitor shall not lead buyers from one exhibit space to another. Exhibitor shall not enter into another exhibitor’s space without invitation or when unattended. Exhibitor or any of its representatives shall not conduct itself in a manner offensive to standards of decency or good taste. Exhibitors are prohibited from selling merchandise on premises. Exhibitors must comply with all applicable federal, state and local laws.

Removal of Exhibit

Packing and removal of exhibits is prohibited until the official end of exhibit hall hours. Empty crates and packing containers being held in storage will not be returned until closing time. In the interest of public safety and show continuity, no exhibit booth or display shall be dismantled or packed prior to the official closing of the exhibition. Violation of this policy may result in a fine, or the refusal of the violating exhibitor’s application for exhibit space in future shows.


Uniformed security personnel will be on duty all hours that the exposition is closed. In addition, OHCA will provide general security during the open hours of the exposition; however, exhibitors will be ultimately responsible for the security of their own exhibit areas and property. Any damage to the GCCC due to carelessness or negligence of an exhibitor must be paid for by the exhibitor who causes same. The fastening of materials to booth drapery or building walls, ceilings, floors or columns is expressly prohibited.

Safety Precautions

All materials and installations must conform with the requirements of the building and inspection authorities having local jurisdiction. All flammable materials must be flame-proofed before being taken into the Exhibit Hall. All vehicles must have fuel tanks drained, fuel filler pipe openings locked or taped shut, and batteries disconnected. The operation of combustible engines will not be allowed. No propane tanks or other combustible gas containers may be used or stored on the premises. No helium tanks or helium balloons.

Matters Not Covered

OHCA reserves the right to rule on all matters pertaining to the exposition, whether expressly mentioned or not, and the exhibitor, by executing the attached application, agrees that all rulings shall be binding upon both the exhibitor and OHCA.
